What is easyDoc?
easyDoc is a internet based service that enables customers (patients) to search for Health Professionals in Australia and make appointments online 24X7 - an alternative to making a phone call only during their normal operating hours to the practice or surgery. Health Professionals are required to signup and publish their appointment calendar containing information on services offered and locations.
Does a Health Professional need to register on easyDoc?
Yes, a Health Professional must register on easyDoc and publish his/her appointment calendar and other professional information.
What does the registration process entail?
Registration is simple and straightforward. It involves defining your professional information, contact information, practice locations, services offered and calendar settings.
What are the benefits of registering on easyDoc for a Health Professional?
There are several benefits of registering on and using easyDoc. Some of them are listed below.

- Showcase your professional profile to better inform your customers
- Create your network of preferred providers to refer customers and make instant appointments
- Generate patient log and utilization reports for pre-defined periods and use them for accounting and forward load planning purposes
- Allow your customers to book appointments online 24x7
- Increase your utilization by allowing receptionists reduce times spent on phone bookings allowing receptionists to concentrate on more important tasks

Yes. easyDoc has simplified this by providing you with a predefined and standard list of services and times (including padding time).
Does easyDoc allow me to setup calendars for more than one location?
Yes. You can setup calendars for one more locations. You can also define the services you offer at each location.
How do I create a provider network?
All you have to do is search for Health Professionals and add them to your provider network.
Can I refer Customers to other Health Professionals via easyDoc?
Yes. You can refer and even book instant appointments with Health Professionals that are in your provider network.
Is it possible for me to be part of a provider network but not share calendar details?
Yes. You can selectively share your calendar/s to members in your provider network.
Do I get notification of cancellations or modifications?
Yes. All notifications are sent by email to you as well as your customer.
Can I restrict last minute cancellations or modifications?
Yes. You can set a predefined value to prevent last minute cancellations and modifications. You can choose from one of 4, 8, 12, 24 or 48 hours.
Is it possible to make bulk appointment modifications due to a delayed start of a Health Professional?
Yes, calendar appointments can be bulk adjusted to accommodate changes to your availability.
A Health Professional is unable to work today; is it possible to transfer all appointments of this provider to one or more Health Professionals within the same practice?
Yes, it is possible to bulk transfer appointments of one provider to another provider.
Is it possible to view my appointments for more than a day?
Yes, all appointments can be viewed on a weekly basis as well.
Can I get a list of appointments for the day?
Yes. easyDoc will send you an email every night with a list of appointments for the following day.
Can I delegate appointment management to my receptionist?
Yes, you can.
Would my receptionist have access to my profile?
Receptionists can have full access to your calendars, reports and referrals.
Can I continue to use the existing phone booking process along with easyDoc?
You can use easyDoc for all appointments, made online or phone.
What if I already use a standalone practice management software?
easyDoc can send relevant customer appointment information to existing practice management software.
Does easyDoc generate any appointment related reports?
Yes, there are three different types of reports - Standard, New Patient, and Referral. These can be generated for various time periods.
Is the system secure?
easyDoc is built using standard web security technologies. All data entered on easyDoc will be handled with the highest regard.
Who has access to my professional profile and personal information?
Your professional profile can be viewed by only by your customers. Any change to your profile can be done either by yourself or by your authorised representative. But, only you can make changes to your personal information.
What is the charge to use easyDoc?
easyDoc offers the service FREE OF CHARGE for the first 7 days to all Health Professionals from the date of registration. A small monthly charge will apply from the 8th day onwards. Please click here to learn more.

Does a practice need to register to use easyDoc?
Every practice is required to register on easyDoc to reap the benefits of the unique internet based appointment management system.
What does the registration process entail?
Registration involves adding practice address, contact details and list of medical receptionists who would access the Health Professionals' diary or calendar information.
Can receptionists access information of all Health Professionals practicing at their practice location?
Access to Health Professional information is managed and controlled by the respective registered Health Professional/s. It is recommended that every Health Professional in the practice registers on easyDoc.
Can I continue to use the existing phone booking process along with easyDoc?
You can use easyDoc for all appointments, made online or phone. Receptionists can continue to take appointment requests over phone and book on easyDoc.
Who in the practice would have access to the Health Professionals' diary?
All information access to a Health Professional's calendar/s is managed by the respective Health Professional. A Health Professional is required to share calendar access to the relevant practice contact/s to view the calendar/s and manage appointments.
Is it possible to add, modify or delete receptionists in the practice?
Yes, easyDoc allows you to add, modify or delete receptionists.
Is there a charge to register a practice on easyDoc?
The service is offered FREE for Practice Managers and Medical Receptionists.

Note: Health Professionals are required to signup and publish their appointment calendar including information on services offered and locations.
Do I need to register myself as a patient to use easyDoc?
Yes. As a registered user, you can make direct appointments with GPs, Dentists Specialists (with a valid referral) and Allied Health professionals. Additionally by registering you will benefit from email confirmations and reminders about your appointment. Registration is easy ... and FREE !!
What does the registration process involve?
Registration involves adding a few basic customer details like name, address, phone, Medicare and Insurance details (optional) and creating a personal Health Professional network.
What are the benefits of registering as a customer on easyDoc?
There are several benefits of registering on and using easyDoc. The key ones are listed below.

- Setup customer profile - you only have to enter your details once and that's it. Your profile will become automatically available to any health professional you book an appointment with
- Provide Medicare card details and insurance detail - again you only have to do this once and the information will automatically be available to your chosen health professional
- Search for Health Professionals (GP, Dentists, Specialists and Allied Health) online 24X7, without having to flip through white pages or yellow pages
- Create your personal Health Professional network and view his/her availability
- Select an available time slot and book appointments - easyDoc allows you to search and select a available timeslot that is most suitable to you
- Book one or more appointments with multiple Health Professionals (including Specialists) online 24X7
- Generate reports based on service or Health Professional type
- Electronic updates on appointments via email - easyDoc emails you with a confirmation of every appointment including new, rescheduled or cancelled ones
Am I required to enter Medicare and Insurance details?
These are optional. Entering Medicare and Insurance details makes the appointment process simple and seamless. easyDoc stores your personal data and reapplies each time an appointment is made with a Health Professional, avoiding unnecessary re-entry of data for each appointment - thus saving time.
How do I view my appointments?
As a registered customer, you will be able to book, view, cancel or modify your appointments with your preferred health professional/s on the Doctor Diary page.
Can I cancel or modify booked appointments?
Yes. You can cancel or modify your appointments; however, cancellation time limits apply depending on the Health Professional. Health Professionals will have preset cancellation times, usually to 4 hrs, 8 hrs, 24 or 48 hours. If this preset time limit has exceeded you cannot cancel an appointment online - in this instance you are required to contact the Health Professional by other means to cancel.
Should I call the Health Professional for last minute cancellation or modification?
Yes. You should continue to follow the existing method of calling a Health Professional for last minute cancellation or modification.
How does easyDoc manage the cancellation or no-show policy?
easyDoc only applies time limits set by individual Health Professionals for cancellation. A no-show is dealt independently by individual Health Professionals.
What do I do if a Health Professional cancels or modifies my appointment/s?
easyDoc notifies you by email when an appointment is changed (cancelled or rescheduled) by a Health Professional or his/her authorised representatives (e.g. receptionists in a practice/surgery). Note: Email is sent to the email address that you would have provided during registration.
Can I setup a list of my preferred Health Professionals?
As a registered customer you can search and select Health Professionals based on personal preferences or criteria and add them to your preferred list of doctors (called Preferred Health Professional List). You can then book appointments with a doctor on this list without having to search again.
How do I delete a Health Professional in the Customer Preferred Network?
Simply click on the "Remove" button appearing below the Health Professional's picture and click on OK. The Health Professional will be removed from your list.
Can I view past appointments??
All appointments can be viewed via a customer report that displays all appointments. You can choose the reporting frequency.
Can my GP make an instant appointment with a Specialist?
Yes. A GP (via his/her Receptionist) can make an instant appointment with a referred Specialist (or other Health Professional). This takes away the need for you to schedule a separate appointment.
Can I make an appointment with a Specialist?
Yes, provided you are registered as a customer on easyDoc and the GP referral is still valid. Each referral made by a GP will have a time limit that will be verified by easyDoc prior to confirming the appointment.
How are customers' medical information managed and secured by easyDoc to ensure that customer privacy is protected?
easyDoc neither seeks nor stores any customer medical information. Its scope is limited to making and managing appointments with Health Professionals. GPs cannot share customer medical information via easyDoc. Referrals to Specialists are limited to making online appointments.
Is the system secure?
easyDoc is built using standard web security technologies. All personal information entered on easyDoc will be handled with the highest regard. easyDoc neither seeks nor stores any customer medical information.
Who has access to my email address and personal information?
Your email address and personal information are accessible only by your Health Professional or his/her authorised representative. Any change to your personal information can be done only by yourself.
One of my family members doesn't speak English; can I find a Health Professional based on a language?
Yes. Customers can search for a Health Professional based on a number of criteria like name, suburb, postcode, state, speciality, language, availability and gap. Select a language of your choice and search for Health Professionals.
Can I view a Health Professional's availability across multiple locations?
Yes. If a Health Professional is practising in more than one location, you have an option to select a specific location. The calendar will be refreshed to display the available time slots for the chosen practice location.
